A colour-coded pupil behaviour and incident log tracker for UK primary and secondary schools, built in Excel and fully compatible with Google Sheets. Log every incident with dropdown menus, monitor patterns on a live auto-calculating dashboard, and keep organised evidence ready for parents’ evenings, SEND reviews and safeguarding — all in one professional spreadsheet.

WHAT’S INCLUDED

The tracker is a single .xlsx workbook with four tabs:

  1. How to Use — a built-in setup guide covering personalisation, logging, and data protection good practice.

  2. Incident Log — a 50-row log with dropdown menus for incident type (Disruption, Physical, Verbal, Refusal to work, Property damage, Emotional, Bullying, Online/Cyber, Other), severity (Low / Medium / High), location (Classroom, Playground, Corridor, Hall, Dining hall, Off-site, Other), and Yes/No fields for parent contacted, follow-up required, and follow-up complete. Severity colour-codes automatically: red for High, amber for Medium, green for Low. The parent contact column turns green when contacted and red when outstanding, so nothing slips through.

  3. Summary Dashboard — live stat cards showing total incidents, high-severity count, parents contacted, and follow-ups pending, plus breakdown tables by incident type, severity, and year group. Every figure updates automatically as you log.

  4. Pupil Tracker — per-pupil incident totals calculated automatically from the log. Pupils with more than three incidents flag red; outstanding follow-ups flag amber. Useful for identifying pupils who may need additional support, and for evidencing patterns at SEND reviews and parent meetings.

HOW TO USE IT

Download the workbook and open it in Microsoft Excel, Google Sheets or LibreOffice Calc — all dropdowns and conditional formatting work in all three. Update the class name, teacher name and academic year in the header. Replace the sample pupil names in the Pupil Tracker with your class list. Start logging. The dashboard and pupil tracker update themselves.

Because this file will contain pupil data once in use, store it in line with your school’s data protection and GDPR policy — in a private or restricted drive, not shared by unsecured email. The How to Use tab includes a short good-practice section on this.
