Main Duties and Responsibilitiesโ€‹

โ€‹

  • Act as the first point of contact for parents, visitors, pupils and staff, providing a friendly, professional and efficient reception service. โ€‹

  • Answer incoming telephone calls, respond to routine enquiries and take accurate messages. โ€‹

  • Welcome visitors to the school, ensuring all safeguarding and visitor sign-in procedures are followed. โ€‹

  • Maintain the security of the reception area by monitoring access and issuing visitor badges. โ€‹

  • Use the Bromcom Management Information System (MIS) to: โ€‹

  • Record pupil attendance, including late arrivals and early collections. โ€‹

  • Update pupil information as instructed. โ€‹

  • Produce routine registers, reports and letters. โ€‹

  • Maintain accurate pupil records. โ€‹

  • Receive and distribute incoming post, parcels and deliveries. โ€‹

  • Support pupil welfare by contacting parents regarding illness, appointments or collection arrangements. โ€‹

  • Undertake general administrative duties including filing, scanning, photocopying, laminating and preparing documents. โ€‹

  • Process routine correspondence, emails and forms in a timely manner. โ€‹

  • Assist with maintaining accurate records in accordance with GDPR and school policies. โ€‹

  • Order and monitor office stationery and other supplies as required. โ€‹

  • Support school events by preparing registers, visitor lists and administrative paperwork. โ€‹

  • Work collaboratively with teaching staff and Senior Leadership Team to ensure the smooth running of the school office. โ€‹

  • Maintain confidentiality of all information relating to pupils, families and staff. โ€‹

  • Follow all school safeguarding, health and safety, data protection and equality policies. โ€‹

  • Undertake any other reasonable duties as requested by the Headteacher or Operations Manager.
